This calculator accounts for each category, shows the remaining unassigned buffer, and compares the schedule with a second tour length and downtime assumption.
Event days and travel-only days are treated as operational. Planned rest is shown separately from expected downtime because intentional recovery and unexpected unavailability have different meanings. Any day not assigned to those categories becomes flexible buffer rather than being silently counted as rest.

How to interpret “downtime”
Downtime in this tool means modeled days when the planned touring operation is unavailable or unable to proceed. Depending on the context, that might represent cancellation risk, illness, technical interruption, venue unavailability, equipment repair, or another disruption. It is not the same as a planned rest day.
The input is an assumption rather than a forecast. Use past records when available, and compare several scenarios. A schedule with zero expected downtime may still encounter disruption; a schedule with modeled downtime does not guarantee that the buffer appears on the dates when it is needed.

What counts as an event day?
Use a day containing the tour’s primary booked activity, such as a performance, session, guided activity, appearance, or production commitment.
Why are travel-only days operational?
Travel consumes touring capacity even without a primary event. The operational-load metric therefore includes both event days and travel-only days.
Is planned rest included in downtime?
No. Planned rest is intentional and entered separately. Downtime represents modeled unavailability or disruption.
What are unassigned flexible days?
They are calendar days remaining after event, travel, planned rest, and downtime counts are subtracted. They may later be assigned to buffer, preparation, additional rest, or new activity.
What stays fixed in the alternative scenario?
Event days, travel-only days, and planned rest days remain the same. Only the alternative tour length and alternative downtime inputs change.
Why does the tool reject my schedule?
The categories cannot exceed the total calendar length. Increase the tour length or reduce one or more allocated day counts.
Does the calculator recommend an ideal downtime percentage?
No. Appropriate contingency depends on the work, history, people, equipment, contracts, locations, and risk tolerance. The tool reports ratios without labeling one universal value as ideal.
